||Digital Projects Co-ordinator

||The incumbent’s responsibilities are split between digital content based projects originating from WLU Press and the Library. Within the Press, the incumbent works on projects involving the transformation of print based publications to online. Within the Laurier Library the incumbent works on a variety of initiatives with other librarians and library staff broadly encompassing the transformation of scholarly content, which the Library and University Archives has curatorship responsibilities for, to the electronic environment. The Digital Projects Coordinator also works with WLU Press and Library colleagues to educate the university community about changes in scholarly publication modes and reform.
The Digital Projects Coordinator is responsible for coordinating and handling many of the processes involved in customization, content development, organization, maintenance, and ongoing user support of Scholars Commons @ Laurier, Laurier’s institutional repository. Scholars Commons @ Laurier (http://scholars.wlu.ca/) uses the Berkeley Electronic Press’ (BePress) Digital Commons platform to provide a consolidated Web presence for research and scholarly outputs of Laurier’s individual researchers, Research Groups, and affiliated organizations.
The position handles all the interactions and processes (including troubleshooting) involved in the use of the Press’s 3rd party digital asset management system, CoreSource (http://www.ingramcontent.com/pages/digital-asset-management-distribution.aspx), as well as other digital metadata and delivery processes
CONTENT DEVELOPMENT AND DIGITAL PROCESS MANAGEMENT 50%
- Acts as a liaison between the Laurier community and BePress. Analyzes the needs of stakeholders and guides the details of the workflow, setup, management, and access processes involved in content development and maintenance of content on Scholars Commons @ Laurier
- Oversees day-to-day management of the institutional repository, including guiding content developers or other support staff in the addition or file management of content
- Establishes and coordinates other working groups of individuals from within or external to Laurier, as needed, to guide specific projects
- Identifies opportunities for collaboration within the library, on campus, and with other institutions
- Provides expertise in file conversion and handles file editing for various digital projects
- Works with the Press's Systems Administrator to optimize the functioning of the database and Digital Asset Management System
- Assists in developing recommended best practices for metadata, creates and organizes metadata for the institutional repository and Press digital content
- Identifies funding opportunities for scholarly communication initiatives and participate in preparation of grant proposals
- Promotes and develops the institutional repository, liaising with faculty, researchers, and students, and ensures compliance with relevant laws and policies, particularly surrounding copyright and other intellectual property issues
- Advises on opportunities for new models of distribution to facilitate the exchange of scholarly communication
- Coordinates the creation & quality control of ebook files in XML, ePub, PDF as well as ONIX metadata, and the delivery of metadata and ebook files to 3rd party licencees and vendors
- Handles bulk content uploading for various digital projects related to the institutional repository development
- Contributes in the promotion of Scholars Commons @ Laurier, informing individuals within and external to the university about the collective goals of the institutional repository
- Communicates with content producers (faculty, journal authors and editors) to recruit content for Scholars Commons @ Laurier
- Participates in WLU Press’ and the library’s outreach efforts to increase awareness among faculty, researchers, and students about and changes to scholarly communication (e.g., author rights, publishing options including Open Access, etc.)
- Represent the institution’s perspective in the broader academic community (at conferences, on committees, etc.)
- Develops education programs about scholarly communication, including providing workshops and written documents
- Provides training and support to various Laurier stakeholders on use, setup, content development and maintenance of Scholars Commons @ Laurier
- Assists journal editors with setup and use of the editorial features and processes
- Establishes and directs other working groups of individuals from within or external to Laurier, as needed, to guide specific content development projects
POLICY AND PLANNING 20%
- Formulates policies and procedures for the production, management, and preservation of digital content and metadata, including workflows, quality control, and intellectual property issues
- Works with Press Acquisitions Editors and other University stakeholders to envision & implement new modes of dissemination of scholarly materials
- Works with stakeholders to develop institutional repository guidelines, including submission rules and the development of new communities
- Assists in the creation of by-laws and policies for journals, research centres, and content developers, as well as copyright, submission agreements, and publishing contracts with authors and content developers
- Works with Press’ Journals & Distribution Coordinator to ensure subscription processes for on-line journals function smoothly
- Develops procedures and analyzes policies to ensure consistency and accuracy of the information in the institutional repository
- Co-ordinates short and long-term development planning documents, in coordination with various stakeholders
- Creates and implements a comprehensive marketing strategy
QUALITY CONTROL 10%
- Works with BePress staff to troubleshoot and fixes problems with the system
- Liaises with Laurier or BePress IT staff for maintenance and upgrading issues of associated digital projects
- Monitors usage and creates and distributes reports to stakeholders
- Monitors performance and processes of systems – both Press and Library -- to ensure they meet the identified user needs
- Prepares written documentation on the use and maintenance of the processes
||• A university degree plus minimum three years of related experience, preferably as an institutional repository administrator or digital asset manager
• Recent Web design experience
• Excellent oral and written communication skills
• Strong problem-solving and analytical skills
• Strong organizational skills, accuracy and attention to detail, ability to set and handle multiple priorities and meet short deadlines.
• Ability to work independently, with minimal supervision
• Knowledge of PDF, html, html5, CSS, XML, ePub and ONIX standards and inter-operability
• Knowledge of harvesting protocols
• Knowledge of metadata standards for institutional repositories and scholarly publishers
• Knowledge of copyright issues as related to scholarly communication and electronic publishing
• Experience writing policy documents
• Experience leading diverse teams
• Familiarity with current trends in electronic publishing or digital repository systems
• Work experience in an academic library or academic publishing
• Graduate research or scholarly research or publication experience
• Experience providing user training or computer user support
• A desire to work in a fast paced, challenging, and rapidly changing environment requiring a commitment to continuous learning.
