Position Title Coordinator, Administration

Job Summary
Within the framework of VON philosophy, policies, procedures, standards and quality management, the Coordinator, Administration is responsible for providing support to the Manager(s) and to provide leadership and coordination to Community Support Services (CSS).
This position is critical to the successful implementation of Procura within Middlesex County as well as the day-to-day operations of the main satellite office in Strathroy, which includes a 5 day per week Adult Day Program. This role is a direct support to the Manager of CSS as well as the administrative team that supports over 3500 clients and 800 volunteers across Middlesex County.
  • Coordinates and manages the collection and reporting of monthly statistics in accordance with branch policies, including preparing monthly service summary reports, statistics and records
  • At times is responsible for collecting, coding and submitting accounts payable
  • Process accounts receivable: billing and deposits
  • Assists with fundraising activities/events: secretary, treasurer as required
  • Provides information to stakeholders regarding services
  • Maintains and supports office telecommunication systems
  • Provides support and acts as a resource to program specific staff in the completion of monthly statistics and billing reports
  • Provides leadership and support to district administrative staff
  • Creates and prepares financial and statistical trending reports for program analysis
  • Contributes to the development of the budget
  • Participates in the development of publicity information related to programs
  • Schedules interviews and meetings as requested
  • Participates in the orientation of new administrative staff
  • Functions as super user/trainer on internal client management software
  • Experience with leading adult learning sessions, training in content and software
  • Receives and processes telephone calls from co-workers, clients and families, volunteers, health professionals and the public
  • At times greets the public and directs them accordingly
  • Assists with the orientation of new office volunteers as directed
  • Liaises with office volunteers who require administrative support

  • Office Administration Certificate from a post-secondary institution or equivalent
  • Minimum of 2 years in an administrative office setting
  • Proficiency in Microsoft Office programs (Outlook, Word, PowerPoint, Excel & Publisher)
  • Procura experience is an asset
  • Experience working with statistics, compiling and trending
  • Experience working with volunteers and seniors an asset
  • Possess an understanding of community board operations
  • Ability to demonstrate professional manner and works cooperatively with colleagues, clients, families and community partners
  • Ability to work both independently and as part of a multi-disciplinary team
  • Excellent oral and written communication, interpersonal and organization skills
  • Ability to follow directions appropriately, as well as to maintain confidentiality
  • Must have personal vehicle and possess both a current driver’s license and proof of vehicle insurance
  • Current criminal background check will be requested
