Overview

The Administrative Coordinator position is an exempt position assisting the Departmental Administrative Coordinator, reporting to the General Manager.  In this key role you will be responsible for providing a wide range of complex and highly confidential secretarial/administrative duties, in a dynamic and challenging work environment.

 

Scope

The successful candidate is responsible for performing diverse and highly confidential secretarial/administrative support duties under the direction of the Departmental Administrative Coordinator.  This job requires extreme tact and discretion in handling labour relations matters, restricted and sensitive information of a City and Departmental level.  The incumbent performs advanced clerical and secretarial work, including recording of Engineering meetings while assisting the Departmental Administrative Coordinator, preparing agendas, backup and other related correspondence.

 

Requirements Completion of Grade 12, supplemented by a minimum 2-year diploma/certificate from a recognized Community College or Institute of Technology is preferred, but an equivalent combination of directly related education, training and experience will be considered.  A minimum of 10 years relevant work experience, preferably in municipal government operations, as an executive secretary or an administrative assistant is required.  Experience in public relations is an asset.   Good knowledge of Microsoft Word, Excel and PowerPoint is required; along with highly developed organizational and administrative skills, with excellent verbal and written communication skills.  Must have the ability to work independently and be able to exercise sound judgment in a high volume workplace.
