Job Description
 
Role

The Executive Assistant/Receptionist provides administrative support to three Senior Executives and coordinates the reception and office areas.

 
Executive Assistant Responsibilities
  • Pro-actively manage the agenda, mail, email, and calls (screen and resolve calendar conflicts, filtering requests)
  • Organize travel arrangements (planes, accommodations, etc.)
  • Organize meeting logistics
  • Draft and correct documents and responses 
  • Manage timesheets and expense reports
 
Receptionist Responsibilities
  • Welcome visitors 
  • Answer and direct incoming calls
  • Manage the meeting rooms schedules using Outlook
  • Assist in the planning and preparation of meetings and events
  • Coordinate incoming and outgoing postage and packages
  • Maintain inventory of all office and kitchen supplies
  • Arrange transportation services for staff
  • Assist the Office Manager with tasks when needed
  • Perform other general office/administrative duties as required

Requirements
  • Computer skills (including Microsoft Word, Excel, Outlook, internet)
  • Relevant experience, an asset
  • Fluent in English, both oral and written. French an asset
  • Able to prepare PowerPoint presentations. Keynote a plus
