The Talent Acquisition Assistant works within the Talent Acquisition team and supports the full cycle of employee recruitment and selection activities in order to meet the College’s staffing objectives. The successful candidate will develop strong relationships across the College, building trust and respect and ensuring integrity in all processes while providing a positive candidate experience. The incumbent will be an advisor to management on recruitment and selection processes, assist with interview logistics and documents, create and track job offers, and gather/report meaningful and accurate metrics. He/she will provide effective service to visitors and callers to the HR department, exemplifying the department’s commitment to our clients. This is a 1 year contract position.
• Assists with the creation and implementation of HR processes and policies. • Responsible for administration of applicant tracking system (HireDesk) and supporting internal users. • Tracks and processes recruitment requisitions. • Posts job ads on Seneca websites, external job boards and social media sites. • Ensures a positive applicant experience when responding to queries by phone and email, and assisting with online job applications. • Arranges and conducts candidate interviews, telephone pre-screening, reference checks, and candidate skills testing. • Advises managers on screening and selection decisions. • Creates job offers, confidential correspondence and employee files with direction from HR team members and managers; obtains approvals and documents to comply with college policies. • Responds to Human Resources-related inquiries by phone, email and in person and provides advisement. • Responds to third party requests for personnel information, ensuring that release of information is authorized and complies with the Freedom of Information and Protection of Privacy Act. • Keeps personal and sensitive information confidential at all times. • Tracks data points and reports regularly on recruitment activity, metrics and measures of success. • Responsible for recruitment files and processing of invoices and payments. • Participates in other projects and duties as assigned.
• Two year post-secondary diploma in Human Resources or a related field. If in another field, state how education is related • Competency with Microsoft Word, Excel, SharePoint, electronic signature software, Twitter and LinkedIn • Advanced proficiency with applicant tracking system software • Experience in a large HR team providing support services in a partnering environment • Previous experience within a unionized, broader public sector workplace preferred • A high degree of diplomacy, discretion and confidentiality • Excellent organization skills with the ability to effectively manage time, prioritize and remain flexible while managing a dynamic workload and changing priorities • Accuracy and attention to detail; numeracy skills to develop accurate metrics reporting • Well-developed interpersonal, customer service and communication skills (verbal and written) to interact effectively with multi-cultural/racial/able students, staff and the public are required • Enthusiasm and desire to make a difference within a supportive team
