Position Overview Office Coordinator, Community Recreation and Camps
(Appendix D/Temporary Assignment October 22, 2012 to November 1, 2013)

Reporting to the Manager, Community Recreation, Camps and Outdoor Centre, the incumbent is responsible for the office administration support of the Newnham Community Recreation and Summer Camps. The incumbent provides excellent front-line customer service to clients, suppliers, students and staff in person, by phone, fax, email, and web. The Office Coordinator is primarily responsible for summer camp and community recreation registration processes, database management, and attendance procedures. The incumbent also assists with marketing and advertising.
Responsibilities • Accountable for Summer Camp and Community Recreation on-line and in-person registration, database entry and management.
• Responsible for accurate entry of attendance for part-time Community Recreation staff; and for over 750 children per week during the summer months.
• Responsible for office administration support (filing, copying, mail runs, ordering office supplies, liaison with office machine repair contractors, etc.)
• Assists with payroll and administration for seasonal part-time staff.
• Assists with the purchasing process, including loading LPO’s and PR’s, standing orders, weekly deposits and reports.
• Responsible for the Tuck Shop (inventory, sales records and daily deposits during summer months.)
• Assists with preparations for and delivery of camp staff training and assists with supervision of camp office part-time staff.
• Assists with CampBrain creation and loading of current lists 4 times per year.
• Assists with marketing and advertising by attending trade shows and camp fairs, proofreading material, and creating flyers.
• Responsible for distribution of printed communications (brochures, camp kits, etc.) to clients and school boards.
• Assists coordinators with special events (open houses, skating shows and dance reviews.).
• Registers Community Recreation skaters and gymnasts with the appropriate sport governing bodies.
• Other duties as assigned.
Qualifications • Demonstrated competencies attained through a Certificate in a related discipline from a recognized post-secondary educational institution complemented a minimum of 2 years’ experience in a customer service driven environment, or equivalent combination of qualifications and experience.
• Experience delivering customer service in a Community Recreation, Sport or Summer Camp environment is an asset.
• Excellent customer service and interpersonal skills are essential.
• Experience in office administration with well-developed organizational skills and attention to detail.
• Competency with computer software, financial tracking knowledge and experience with payroll and attendance tracking.
• Demonstrated analysis and problem solving skills.
• Well-developed human relations and communication skills (verbal and written) to interact effectively with multi-cultural/racial/able staff and the public are required.

Hourly Wage Rate Payband E: Start rate $23.09
Weekly Hours of Work 37.5 hours (overtime as required). Monday - Friday: 8:30 AM to 5:00 PM (September to June)
Monday - Friday: 10:00 AM to 6:30 PM (July to August)
