Position Overview Reporting to the College Registrar, and responsible for managing and directing the College’s core Admissions function, the incumbent plays both a proactive and a consultative role to ensure the enrolments of new students are at optimum levels. The incumbent is responsible for the overall performance and effectiveness of application and admission processes, the central Admissions Office, and for the publication of the College Calendar and the many information pieces directed at new and potential applicants. The incumbent is responsible for the selection criteria used in applicant selection ensuring that the criteria are appropriate, objective, and transparent and within the limitations of provincial legislation and policies. The incumbent plays a lead role in the development of strategic planning for the Office of the Registrar and keeps the Registrar and the College abreast of admission and recruitment issues in the colleges and universities of Ontario as well as other jurisdictions, and provides advisement on any issues that may impact the College.
Responsibilities • Accountable for the performance of the College’s domestic and international application and evaluation processes, pre-admission selection processes, the release of offers of admission and all admission and recruitment procedures related to meeting semester one enrolment targets.
• Responsible for the systematic and manual evaluation of applications for certificate, diploma, post-diploma, degree, special funding and tuition short programs at the Newnham, Markham, Jane and Seneca@York campuses. Accountable for the fair and equitable treatment of all applications.
• For international applicants the incumbent is responsible for ensuring applications, admissions decisions admission packages and declined letters are processed in a timely manner as well as managing selection system procedures.
• Accountable for the timely and accurate provision of applicant services at all points of customer contact.
• Responsible for the management of the central Admissions Office, with the assistance of the Manager, Admissions Operations, and for service provision at all points of customer contact including the Admissions web portal for applicant enquiry, the College’s two incoming queue phone lines and for in-person service at the front counter as well as web generated enquiries.
• Responsible for the overall quality, accuracy and timeliness of admissions advisement, one of Admissions most important core functions; including providing applicants, parents and secondary school counsellors with: an understanding of the reasons for denying admission; alternative academic paths to reach career goals; the interpretation of test score results; possible methods of academic upgrading; the costs associated with a college education, the restrictions of College or Ministry policies, and the rules and regulations of Immigration Canada.
• Communication and publication of college information related to the recruitment/application/admission/acceptance of new applicants.
• Assists the Registrar with support and advisement to ensure the Registrar and the College are abreast of admissions and educational issues within the Ontario college/university systems as well as systems in other political jurisdictions. Represents the Registrar at functions, on committees and in meetings. Assists the Registrar in supporting the College’s strategic plan and in developing the department’s operational plans.
• Responsible, with the assistance of a Manager in Admissions, for the human resources in the Admissions office and for the prudent administration of the associated budgets.
Qualifications • A minimum of a 4 year degree in of a relevant field such as communications, business or public relations field; or equivalent education.
• A minimum of 7 years progressive work experience in a Registrar’s environment, in a position that included leadership and decision making responsibilities and a sound knowledge of the College’s procedures, policies and operating systems. Some progressive experience in an admissions area is required.
• Excellent written and oral communications skills, with excellent attention to detail.
• Demonstrated knowledge of Canadian and international educational systems; knowledge of the Ontario Secondary School system, including curriculum and graduation requirements.
• Working knowledge of key legislation, policies and guidelines issued by the provincial Ministry of Training, College and Universities related to Domestic and International Admissions, Tuition Fee Regulations and other Ministry related initiatives.
• Experience and proven ability to work in a highly effective manner in a multi-tasked environment, under high pressure and with high volume. Experience working with a relational database with an ability to solve process and procedure initiatives.
• Exceptional proactive initiator and a consultative leader building trust-based relationships with academic administrators.
• Excellent communication (verbal, public speaking and written) and interpersonal skills to interact effectively with the multi-cultural/racial/able students, staff and public.
