Schools of Media and Marketing, Tourism and Business Management
Reporting to the Chair, Media and Marketing, the incumbent provides secretarial and organizational support to the School of Media and Marketing, the School of Tourism, School of Business Management, and General Education at the Markham Campus. Additionally, the incumbent provides administrative secretarial support to the Chair; information processing, revisions and filing of academic materials for faculty and co-ordinators and responds to student inquiries.
• Provides administrative support to the Chairs, staff, students and faculty with respect to processing subject outlines, quizzes, tests, exams, book orders and organizing school meetings. Organizes and maintains school records, subject outlines, budget records, final exams and text books orders. Responsible for Advisory Committee correspondence, minutes, memoranda, and on-going College correspondence. • Completes and processes requests for printing, purchases, copying of all academic materials; follows up on requests as required. Provides general office support including maintaining and tracking of office expenses and supplies and procurement and maintenance of offices supplies / equipment. Liaises with vendors and negotiates services / products on behalf of the Faculty. Requests office keys, desk allocation, and phone extensions. • Communicates information about School activities and decisions, including class cancellations and posts where appropriate. Responds to student, staff, faculty, and external inquiries in-person, telephone, and email communication. • Communicates with students regarding policies and procedures • Responsible for implementing and monitoring the progress of departmental projects when needed and keeping the Chairs informed of the project status. • Assists the Chairs, Faculty and Staff with the development of meetings/events and presentations. • Other duties as assigned.
• Demonstrated competencies attained through a recognized post-secondary one year certificate in Office Administration or equivalent. • Minimum of 2 years in a secretarial/administrative role in a customer service oriented environment. • Strong proficiency in the use of the following software: Word, Excel, Access, ARIES, PowerPoint and email. • Strong proficiency in minute-taking and transcription, accurate word processing and research skills. • Must have strong time management, organization and problem solving skills, with an ability to organize workflow, prioritize, and complete tasks as well as exercise sound judgement in resolving day-to-day matters under pressure and within time deadlines. • Ability to exercise sound judgment and to communicate with tact and diplomacy. • Excellent interpersonal and communication skills (both written and verbal) are essential as well as the ability to interact effectively within the College’s multi-cultural/racial/able student and staff population and members of the general public.
Hourly Wage Rate
Payband D: Start rate $21.48 , Maximum rate $24.87
Weekly Hours of Work
35 hours (overtime as required). Monday to Friday: 9:00 AM to 5:00 PM
