Position Overview HR Assistant, Compensation and Benefits
(One year Contract)

The incumbent will be responsible for providing confidential administrative support services for the Compensation and Benefits area. As first point of contact with employees and third party clients, the applicant will be relied upon to provide accurate, prompt and effective service that exemplifies Seneca College’s commitment to its clients; and is expected to function in a professional and confidential manner at all times.
Responsibilities • Supports job evaluation committee; takes minutes at job evaluation meetings, researches data, sends requests for further information and updates/stores all documents
• Updates contract history and enters contracts as needed
• Supports the increment and allowance process through reviews or audits
• Updates and supplies organizational charts to the HR community
• Drafts, updates or processes confidential correspondence, reports or surveys
• Handles sensitive employee information and files including organizational changes, staffing, compensation and benefit updates
• Responds to and follows up on employee inquiries via phone, email or intranet; makes connected referrals as necessary
• Collects Admin performance appraisals; tracks performance review stats and reports details to Management team
• Performs general clerical duties including sorts and distributes mail; tracks and maintains office supply inventory; assembles benefits enrolment packages or other mail outs; places vendor service calls and maintains HR filing system
• Prepares and codes transfers, purchase orders, cheque requisitions and expense reports
• Process safety shoe and tuition benefit requests
• Collects and notifies others regarding personal injury accident forms; completes Form 7’s within deadlines as instructed
• Tracks and updates chemical inventories and MSDS sheets for the College
Qualifications • A two-year post-secondary diploma in Human Resources
• Minimum two years of experience in a related support position
• Excellent computer skills with MS Office Suite; advanced Excel skills and detail orientation; use of HRIS an asset
• Ability to work with confidential and sensitive information and apply sound judgement accordingly
• Excellent organizational skills with the ability to manage multiple priorities and unpredictable situations under pressure of deadlines
• Excellent communication (verbal, listening and written) and customer service skills
• Positive, resourceful and proactive team player
• Demonstrated knowledge of the key concepts of compensation and benefit administration
• A high degree of diplomacy, discretion and professionalism is required
• Experience with job evaluation an asset
• Experience within a unionized environment is considered an asset
