Position Overview Reporting to the Senior Manager, Environmental Sustainability, the incumbent is responsible for the successful space rental function and operation of Seneca College.
Responsibilities • Handles all functions and room bookings, meets with potential clients, conducts property tours and negotiates space rental contracts. Coordinates with internal stakeholders to make appropriate arrangements for any rental function and to meet client needs. Maintains and communicates to all involved parties necessary function details and attends functions as required.
• Oversees space rental function employees and any external parties assigned to work on the function. Coordinates supporting function staff such as custodial, set up, students, security, caterers and so forth. Facilitates the resolution of staffing, client or contractor issues.
• Negotiates and maintains on going, positive relationships with contracted services such as caterers, cleaners, furniture/tent providers, security and internal Seneca stakeholders.
• Creates, reviews and maintains policies and procedures pertaining to space rentals and revises as necessary. This includes customer service standards to ensure compliance with legislation and internal standards such as occupancy rate legislation, fire code, building code and liquor licensing. Oversees and is responsible for alcohol services and ensures that all licensing guidelines and inventory controls are followed.
• Hires, trains and schedules all employees involved in execution of functions.
• Oversees staff, plans and organizes work, communicates goals, and schedules/assigns tasks. Advises staff of formal policies and procedures to ensure compliance, identifies options and resolves any issues.
• Establishes performance goals for staff and provides regular feedback. Ensures all staff are properly trained and have the tools and equipment needed to effectively carry out their job functions.
• Recommends or initiates any disciplinary or other staffing/human resources-related actions in accordance with the collective agreement and HR policies. Alerts the Director of potentially serious issues.
• Monitors all cash handling, cheque deposits and client accounts including external invoicing and receiving payment for space rentals. Follows internal accounting principles with internal clients for functions they are arranging.
• Performs other duties as assigned.

PLEASE NOTE: This position requires moderate physical effort.
Qualifications • Minimum two (2) year diploma in Hotel/Hospitality Management, Business, or a related field.
• Five (5) years’ work experience in function coordination and experience in managing full-time and part-time employees.
• Knowledge of the following government regulations are considered an asset; Liquor Licensing Act, Ontario Health and Safety Act, WHMIS, Building Occupancy Code, and Fire Act.
• Must have demonstrated supervisory, motivational and training experience.
• Excellent customer service orientation, including resolving customer issues and complaints.
• Leadership Skills; planning, directing and employee development.
• Proven Negotiating skills.
• Excellent communication skills (oral and written) and demonstrated interpersonal skills.
• Computer literacy with Microsoft Office Suite.
• A valid Ontario Driver’s License and access to a reliable vehicle are required for travel between campuses.
