Fitness Centre Clerk (Appendix D/Temporary Assignment from February 16, 2013 to February 15, 2014)
Reporting to the Manager, Athletics, Recreation and Sport Centre Operations, this position is dedicated to the administrative support for the day-to-day operation of the Fitness Centre. The incumbent is responsible to open each morning and provide client services at reception and ensure that clients have safe access to equipment. The incumbent is responsible for general inquiries about memberships and provides the office administration duties for the department. The position is responsible for cash office reconciliation, time tracking entry (for payroll) and gathering data and information for monthly membership status reports. The incumbent is also responsible for departmental part-time payroll (time tracking sheet) and for coordinating the Student Athletic Association Bingo, the major department fundraising initiative. The incumbent provides clerical support and project assistance for the Department.
• Opens the Fitness Centre each morning at 7:00a.m and responds to all inquiries by members or other staff. • Runs the report on the cash and sales from the night before. • Ensures the environment is safe and healthy for users (temperature, cleanliness, equipment is operating). • Inputs data as required and provides administrative support to the Fitness Coordinator. • Finalizes membership applications and sales, completing all documentation and financial recording required. • Monitors class and special bookings enrolment and generates statistical reports/lists from membership tracking program. • Maintains all files of participant information, Par-Q and emergency contacts. • Assists with special events and contests organized for members. • Maintains the inventory records for all equipment; follows-up with all equipment maintenance and servicing. • Picks-up from and drops-off departmental mail to Mail Room; distributes mail to departmental staff. • Creates contracts and inputs payroll (time tracking) for part-time Fitness Centre staff. • Maintains all fitness centre staffing and financial files. • Orders fitness centre supplies, department office equipment and stationary purchases. • Initiates payment of department bills and maintains purchasing records. • Based upon instruction from Fitness Centre Coordinator, orders and monitors all Fitness Centre capital equipment. • Monitors staff mobile phone bills; tracks all expenditures and ensures payments are made in timely manner. • Complete licence registration as necessary for fundraising initiatives. • Conducts weekly reporting and reconciliation of accounts; securing cash floats and makes regular deposits. • Recruits, trains and schedules Bingo staff; collects and collates session reports from Bingo staff. • Represents Seneca at Bingo Association meetings and assist at Bingo hall when necessary.
• Minimum of a one-year certificate or diploma in Office Administration or equivalent. • Ability to apply advanced reading, writing and mathematics skills. • Current First Aid and CPR certification. • Minimum of two years in an office environment with experience doing on-line registration, data entry, cashier and sales. • A strong customer service orientation and organizational skills are required. • Financial experience reconciling bills and accounts, and tracking and entering payroll. • Excellent computer skills are required, including knowledge of Microsoft Office, and payroll and registration programs. • Strong human relations in order to effectively work with a multi-cultural/racial/able mix of students, faculty and the public.

Payband D: Start rate $21.48 , Maximum rate $24.87

35 hours (overtime as required). Monday to Friday, 7:00 AM to 3:00 PM
