Position Overview Systems and Scheduling Assistant
(Initiatives & Opportunities/Temporary Position until March 31, 2015)

Reporting to the Associate Registrar, College Information Systems, the incumbent is responsible for administering, confirming, and assigning OEN’s for all Seneca Students; reviewing requests for Student Off Campus Work Permits in compliance with Ministry of Citizenship and Immigration guidelines; participating and completing special projects in support of systems improvements/changes and accurate records keeping.
Responsibilities • Monitors, investigates, and assesses student records in reference to inquiries related to OEN.
• Seeks accurate data when incorrect/incomplete records are on file; resolves conflicting data and validates information on the College system and the MTCU system.
• Analyses the necessary documents for verification and transfers the results to the College computer system.
• Processes results on computerized systems for admissions and student records.
• Liaises with IT, OCAS and Ministry of Education regarding anomalies and discrepancies.
• Updates student records for Seneca students, all categories.
• Monitors, reviews and assesses applications for Student Off Campus Work Permits from CIC site/system.
• Adheres and applies strict Ministry and College guidelines regarding the approval/denial of work permits and communicates results to applicants.
• Participates, executes, and completes projects to support systems changes/enhancements/improvements as related to accurate document and records keeping.
• Retrieves data from college computer system, excel reports.
• Updates data/information as appropriate to scope of project.
• Updates records for room inventories.
• Other duties as assigned.

Qualifications • Completion of a Secondary School Diploma from a recognized educational institution.
• Minimum 2 years work experience in a related area.
• Demonstrates ability to multi-task and meet deadlines, problem solve under pressure within a public environment and maintain a professional and invitational attitude at all times.
• Excellent computer skills and computer retrieval skills, preferably in a MS Office environment. And working knowledge of Windows and XML.
• Sound judgment and understanding of accountability in order to make independent decisions and maintain accuracy.
• Ability to interact with internal and external contacts with ease and effectiveness.
• Demonstrated ability to work under pressure with high volume and within strict timelines, while maintaining accuracy, effectiveness and customer service relations with sponsoring agencies and the College community.
• Excellent time management, process management and client service/relations skills.
• Strong organizational skills, attention to detail and accuracy essential.
• Ability to establish priorities within conflicting timelines; ability to work with minimal supervision.
• Well-developed interpersonal, customer service and communication skills (verbal and written) to interact effectively with multi-cultural/racial/able students, staff and the public are required.
Hourly Wage Rate Payband E: Start rate $23.55, Maximum rate $27.30
Weekly Hours of Work 35 hours (overtime as required). Monday to Friday: 8:30 AM to 4:30 PM
