Position Overview The HR Assistant will be responsible for providing confidential administrative support services for Labour Relations, Recruitment and Onboarding. The incumbent will be relied upon to provide accurate, prompt and effective service to clients, applicants and third parties that request information in person, by telephone and electronically.
Responsibilities • Sets up and maintains employee personnel files ensuring confidentiality of personal and sensitive information
• Responds to third party requests for personnel information, ensuring that release of information is authorized and complies with the Freedom of Information and Protection of Privacy Act
• Supports Human Resources Consultants in preparation and processing of performance management documents
• Distributes and collects performance appraisals
• Distributes exit interview questionnaires and reports metrics to management
• Conducts confidential pre-employment reference checks
• Drafts confidential correspondence, reports and forms
• Creates orientation packages for new employees and tracks orientation checklists
• Monitors new employee WHMIS training to ensure completion
• Tracks and processes Authorization to Recruit requests
• Assigns job competition numbers and ensures an organized and secure filing system for competition files
• Uploads job postings to the Applicant Tracking System (HireDesk) and to external employment sites
• Responds to applicant queries by phone and email; monitors the Jobs email account; provides technical support for applicants using HireDesk
• Assists in setting up candidate interviews
• Processes offers of employment, liaising with Hiring Managers and candidates
• Provides reception services and answers in-bound calls ensuring prompt, courteous and effective service
• Books requests for meeting rooms in the HR area and provides back up for the other HR Assistants
Qualifications • A two-year post-secondary diploma in Human Resources or a related field
• Two years of experience in the HR department of a medium to large organization
• Demonstrated knowledge and experience working in labour relations and recruitment administration
• Experience within a unionized environment is considered an asset
• Competency with Microsoft Office Suite and advanced Excel skills
• Experience using an applicant tracking system
• A high degree of diplomacy, discretion and an ability to maintain confidentiality
• Experience preparing confidential letters and reports is an asset
• Excellent organizational skills with the ability to manage multiple priorities and unpredictable situations under pressure of deadlines and a detail orientation
• Excellent communication (verbal, listening and written) and customer service skills
• Positive, resourceful and proactive team player
