The Manager, College Services is responsible for working with key stakeholders to assist the Director, College Services with the development, communication and implementation of operations within the department. In conjunction with the Director, the incumbent is accountable for planning organizing and managing systems and activities and providing support to the College community during the introduction of new and modified services within College Services. Through research and consultation, the Manager will identify any potential legal liability regarding operational changes. The Manager will assist in the provision of a safe working and learning environment for all students, staff, and guests and liaises with security staff at all campuses. The incumbent represents College Services in the development and implementation of Seneca's Emergency Preparedness Plan and assists the Director in quickly restoring Seneca's businesses in the aftermath of an emergency.
The incumbent drafts policies and procedures and delivers training sessions to College Services teams, to support new College Services initiatives. The Manager will coordinate with other College areas to deliver workshops to students in Residence, and to staff and faculty when new systems such as parking, printing, OneCard, etc. are being implemented. The incumbent has direct operational responsibility for Switchboard operations and part-time Information Booth staff, and assists in providing leadership and guidance to the Residence’s (Newnham and King) management team.
• Develops implementation strategies and policies and procedures for the various changes in service operations as well as business development projects and when required, determines the impact of these projects; identifies areas of conflict and/or differences and works through these issues with the appropriate School/department and any legal liability which might ensue. • The incumbent is required to maintain a current, broad base of knowledge, skills and abilities covering diverse areas - this requires extensive reading and research. • Completes needs assessments and develops an accurate awareness of stakeholders' interests that may be affected by College Services policies/procedures, and for recommending adjustment plans/options which best address stakeholders' concerns. • Works with various college stakeholders in the development and implementation of the Emergency Preparedness Plan that deals with a wide variety of potential emergency situations that could potentially pose a serious risk to the Seneca community. And in the event of the deployment of the Emergency Preparedness Plan, the incumbent must be accessible to be in instant communication/liaison with the Director and be able to issue directives in a clear, concise manner to members of Seneca's community. • Assists the Director in maintaining a safe working and learning environment - coordinates and ensures proper implementation and oversight of College contracts, and College policies and procedures. • Takes appropriate action and/or follow-up when situations arise to ensure compliance with active contracts and compliance with Seneca policies and procedures. • Ensures issues are being reported and are being dealt with appropriately in the best interests of Seneca; submitting regular campus reports; assisting with investigation in all instances of property damages, losses or other business interruptions; conducting fact-finding interviews in relation to complaints and Seneca College Services policy violations. • Interviews, hires and orients part-time information booth staff; and, monitoring and reporting regularly regarding activities of these services • Maintains a presence throughout Seneca, speaking with students and staff to gather information. Shares ideas and develops and maintains relations with all members of the Seneca community – this necessitates the ability of the incumbent to create a sense of trust and credibility. • Reviews any College Service incident reports and data to provide an analysis of trends and patterns and recommends specific programs targeted to counter such incidents. • Responsible for the operations of the Seneca Parking Information officers; for designing and delivering orientation training sessions to College Service staff. • Assists the Director of College Services in planning, developing and implementing operational plans in conjunction with budget allocations and the Seneca Business Plan.
• Completed 4 year Degree/Diploma in Business, Administration, or Commerce. Master’s degree preferred. • 5 Years’ related progressive work experience with an understanding of the post-secondary community. • Excellent communication skills (oral and written) and demonstrated interpersonal skills with the ability to cultivate and maintain productive working relationships with Seneca’s multi-cultural/racial/able staff and faculty and students. • Must have demonstrated leadership skills, good judgment and well-developed business design and change management skills. • Comprehensive knowledge of human behaviour and superior conflict resolution skills. • Training/experience in change management, mediation, and alternate dispute resolutions methods. • Computer literacy required, including ability to use formulas in Microsoft Excel and intermediate knowledge of MS Office programs. • Experience working in a revenue-generating environment, and in budget development. • A valid Ontario Driver’s License and access to a reliable vehicle are required for frequent travel between campuses and to meetings.
