Position Overview Working within the marketing department, the position is responsible for creating eye catching proposals, reports and business development materials that are on brand, on time and meet the needs of our internal clients.
Responsibilities • Create complex multi section documents of various sizes incorporating text, figures, images, charts, graphs, tables, columns, table of contents, hyperlinks, bookmarks, etc.
• Work with various disciplines to format and compile large multi-volume proposals ensuring compliance with strict document specifications
• Quality control and quality assurance of submitted material for consistency
• Create and maintain a wide variety of internal and external correspondence for proposals and other business development documentation using Microsoft Office products including Word, Excel, PowerPoint as well as Adobe programs
• Create and modify numerous complex document templates ensuring consistency and brand integrity is maintained
• Data and document management of both electronic and hard copy materials and archiving in accordance with company policy and standards
• Share expertise and knowledge with administration teams in other ISL offices
• Handle sensitive and confidential matters related to business activities and operations
• Work with and support the Document Production Team and the Technical and Promotional writer
Requirements • Microsoft Office Specialist Certification required
• Advanced skills in Adobe programs such as Acrobat would be an asset
• Three to five years of proven experience, ideally in an engineering/environmental consulting firm
• Impeccable proofreading and grammar review skills
• Work well under pressure and very tight deadlines, flexibility to work overtime
• Able to work in a team-oriented environment under the direction of the Project Manager
• Excellent communication, interpersonal and organizational skills
• Commit to continual improvement with a service oriented approach
• Able to multi-task and prioritize in a fast paced environment
• Proactive, self-starter who enjoys "owning" projects and following through from start to finish
• Can anticipate needs, thinks logically and strategically, exercises good judgment and acts independently as necessary
• Come to work each day with a smile and a 'get the job done' mentality
