Title #2013-136 Program Support Officer (2 Positions)
Position Summary Under direction of the Office Manager, the incumbent will provide comprehensive and confidential administrative and secretarial services, in a high energy environment, for assigned Program Coordinators in the School of Hospitality, Recreation and Tourism. Typical duties include: general office support, word processing correspondence and support materials, coordinating meeting logistics, preparing and distributing minutes, and responding to problems and enquiries. The incumbent will also undertake some recruitment activities including school visits, campus tours, and providing direction for and processing of student enrolment enquiries. Performs other related duties as assigned.
Qualifications The successful candidate will possess a minimum of a two year diploma or equivalent in Business or Office Administration, along with a minimum of 2 years of progressive secretarial and administrative experience. Experience in a postsecondary institute or academic environment with knowledge of College policies, procedures, and organizational structure would be considered an asset. Applicants must have excellent computer skills particularly PowerPoint and Excel. Additional qualifications include: superior customer service skills, demonstrated ability to provide above-average secretarial and administrative support; the ability to work independently with minimal supervision; strong multitasking skills, combined with the ability to handle multiple deadlines simultaneously, while maintaining a high level of professionalism; proven organizational and problem solving skills; ability to maintain confidentiality while performing as a strong team member; the ability to assess procedures, systems and approaches; and provide constructive suggestions for improvement. Experience and knowledge of the school’s programs is essential for the student recruitment activities and student advising.
