Title School Secretary
Position Summary The successful candidate provides a comprehensive range of support services necessary to ensure the effective and efficient operation of the School of Liberal Arts & Sciences which offers programming to LAS students as well as general breadth programming to full-time and Continuing Education students from across all college campuses. Specifically, this position will provide secretarial support to Administrators, Program Coordinators and faculty; prepare general correspondence; coordinate meetings/events and word process documents (course outlines, midterm and final exams, office procedures, etc.); maintain the filing system; participate in the administration of the Student Feedback, KPI and/or HELP process; respond to general inquiries from the internal and external community via telephone, email, and walk in regarding course selection, availability and scheduling; and organize logistics on behalf of the School of Liberal Arts & Sciences for special events and/or publications. The incumbent will also perform other duties as assigned, which may include but are not limited to, preparing and posting notice of class cancellations, ordering and maintaining inventory of supplies, providing back-up support to fellow colleagues, overseeing on-site print orders, coordinating the conference room bookings, and distributing mail, etc.
Qualifications The successful candidate will possess a minimum of a two year college diploma, or equivalent, in a related field, along with a minimum of two years of experience which demonstrates familiarity with general office operations and procedures. In addition, the successful candidate will demonstrate: excellent communication, organizational and customer service skills; solid working knowledge of MS Office Suite as well as photocopier, fax and telephone operation; and the skill and knowledge to deal with all aspects of diversity in a post-secondary environment. Experience in a post-secondary institution will be considered an asset.
