Student Services Officer, Practical Nursing & Personal Support Worker Programs

As a collaborative member of the School of Nursing interdisciplinary team, provides a variety of front-line administrative support functions, including general operational and clerical support to Chairs, updating calendars, booking meetings, note taking and producing letters; responsible for credit card logs and submitting them to Finance; provides clerical support to Program Clinical Leads.
Responds to all inquiries from students and applicants via telephone, email, fax or in person.
Provides potential students on entrance requirements, pre-registrations and educational options; advises students on policy and procedural issues such as academic standings, program status, financial assistance, registration, police checks and health record issues.
Performs the routine activities associated with the cyclical nature of academic operations, such as orientation, start up, grade collection and entry, timetabling and the School of Nursing specific events.
Updates the Web Master for postings on the School of Nursing website.
Implements, produces, and helps to improve departmental-specific databases; assists in the establishment and maintenance of departmental records.
Responsible for the management and control of archiving data, such as exams, student files, and other pertinent documentation.
Attends ongoing training for Banner, Grade Entry, Millenium, etc.
Administers Key Performance Indicator (KPI) student and other surveys for the School of Nursing.
Prepares and tracks non-full time HR documentation including contracts, employee lists, etc.
Compiles and tracks department activities such as meetings schedules, School of Nursing room bookings, and professional development activities.
Performs other related duties as assigned.
Two year diploma from a recognized post-secondary institution in Business/Administration, or equivalent.
Minimum 3 years’ customer service and administrative experience in a busy office environment.
Proficiency in MS Office and Banner; fast and accurate keyboarding skills.
Excellent problem solving, time management and organizational skills; attention to detail.
Excellent English communication skills, both oral and written.
Exceptional customer service and interpersonal skills.
Ability to maintain confidentiality of information, to exercise tact and diplomacy, and exhibit good judgement.
Ability to work under pressure with frequent interruptions while dealing with conflicting demands and distractions; ability to prioritize work and meet deadlines.
Ability to work in an environment where a diversity of people and situations are encountered.
Interview process may consist of a practical skills component.
