Reporting to the Manager, Employment Services, the incumbent is responsible for:
  • Performing reception functions for the Human Resources Department by: greeting, screening visitors and callers and responding to their needs or referring to the appropriate person.
  • Responding to a wide range of inquiries from both in-person and by telephone callers, which requires a thorough knowledge of College and Human Resources policies and procedures, departments and resources.
  • Manages the GBC on- line job posting and applicant tracking system.
  • Drafts job postings for Support staff positions; prepares job posting announcements for GBC “Update”; announces GBC job postings on College telephone system.
  • Distributes job postings on a weekly basis via email and job posting board and on applicant tracking system.
  • Coordinates advertising of job postings through external job boards.
  • Fields applicant inquiries relating to the on line job application site.
  • Sorts and distributes unsolicited resumes to appropriate departments.
  • Sets up and maintains job competition files, prepares interview packages and forms, distributes materials to department manager.
  • Records and tracks resumes of applicants and determines if they are “internal” versus “external” candidates who apply for job competitions by checking Banner HRIS and logging them on the applicant tracking system.
  • Word-processes offer of employment letters for successful job candidates, prepares new hire forms and information packages.
  • Monitors and tracks return of signed offer letters for newly hired full time employees.
  • Prepares and updates recruitment statistical activity reports; staff promotions; terminations,
  •  source of hires, employment advertising fees from the applicant tracking system on a timely basis.
  • Calculates seniority for Support staff by reviewing previous employment history.
  • Updates HR Intranet website information on employee new hires and terminations.
  • Issues performance evaluation forms to supervisors and follows up with the HR Consultants to ensure supervisors complete these; prepares and maintains divisional status reports on completed performance evaluations; updates employees files.
  • Coordinates and processes payroll documentation for all full-time employees.
  • Archives inactive employee files and job competition files.
  • Orders and maintains office supplies and department forms.
  • Performs other related duties as assigned.


  • Three year diploma or degree from a recognized post-secondary institution in Human Resources.
  • Minimum three years’ experience in a busy Human Resources, customer-service oriented environment.
  • Intermediate level in Microsoft Office applications; experience working with an HRIS or related relational data base system and an on-line applicant tracking system.
  • Excellent problem solving, time management and organizational skills; attention to detail.
  • Excellent English communication skills, both oral and written.
  • Exceptional customer service and interpersonal skills.
  • Ability to maintain confidentiality of information, to exercise tact and diplomacy, and exhibit good judgement.
  • Ability to work under pressure with frequent interruptions while dealing with conflicting demands and distractions; ability to prioritize work, multi-task and meet deadlines.
  • Thorough and comprehensive knowledge of policies and procedures at the College, while keeping abreast of changes to policies and procedures as it relates to the Human Resources department.
  • Ability to lift up to 44 lbs (e.g., boxes of paper, archive boxes, etc.).
  • Ability to work in an environment where a diversity of people and situations are encountered.
Interview process may consist of a practical skills component.
The College requires proof of degrees, credentials or equivalencies from accredited regional or federal post secondary institutions and/or their international equivalents. Credentials may require validation at the time of interviews.
