Position Overview
Reporting to the Manager, Centre for Applied Research and Innovation (CARI) the incumbent is responsible for a wide range of duties related to budget development, financial reporting, and data management for the Manager, CARI and the Director, Henry Bernick Entrepreneurship Centre (HBEC). Specific duties include, but are not limited to:
Duties and Responsibilities
  • Establishing processes and documentation for the budget process, data management, projects, and grant-related financial tracking and reporting
  • Developing, submitting and maintaining budget accounts including drafting Planning Budget Submissions (PBS)
  • Assisting in the development of annual budgets, tracking changes, variance analysis, and forecasts
  • Monitoring expenses of all projects ensuring costs are eligible and reconciled against the approved budget
  • Preparing detailed analysis of various expenses to ensure maximum reimbursement from funders
  • Monitoring budgets to identify discrepancies and propose solutions
  • Maintaining accurate records, with supporting documentation, in an audit ready format to be able to respond to audit inquiries
  • Preparing yearend adjustments (accruals, deferrals, unbilled receivables)
  • Compiling data from various sources and developing reports and analysis to assist in decision making
  • Producing financial / status reports monthly, quarterly, yearly and upon project completion
  • Assisting in preparing for budget reviews and external audits
  • Preparing documentation to issue purchase orders and invoice requests
  • Assisting in preparing funding proposals, tracking project status’ and monitoring deadlines
  • Reviewing the reconciliation of department credit card statements
  • Orienting new faculty researchers / student research assistants on reporting and administrative processes
  • Providing limited general administrative support for researchers
  • Responding to inquiries regarding research project processes / procedures or budget from staff or students
  • Successfully completed a three year postsecondary diploma / degree in a relevant field of study that may include but is not limited to business administration
  • Three years’ progressive and practical experience in a professional and diverse office environment supporting more than one manager in a service area with the accounting cycle: budget development, data management and financial reporting
  • Experience with financial tracking in a research environment is preferred
  • Detail oriented with a sound understanding of accounting principles
  • Advanced experience in Windows based software applications, particularly in word processing, internet, email, and spreadsheet design / application
  • Experience with a financial information system (preferably Banner) to complete financial reporting tasks
  • Proven communication (written and oral) skills to work with stakeholders and collect accurate information
  • Proven time management and organizational skills to set priorities and handle multiple responsibilities with tight deadlines
  • Demonstrated ability to use analytical and problem solving skills
  • Proven ability to work independently and as part of a team
  • Knowledge of college policies and procedures would be an asset
