As the successful candidate you will have the opportunity to…
 
  • Assist the Branch Manager with the daily processing. 
  • Handle reception duties and receive and distribute all mail, and look after the maintenance of the facility.
  • Provide administrative assistance to Vice President, Insurance.

 

Key Responsibilities:

 

  • Answer the Branch phone number and redirect all calls to the appropriate person;
  • Provide reception to guest arriving at the C1 entrance of the building;
  • Receive and distribute all incoming mail and packages to the appropriate person;
  • Apply postage, prepare and post all outgoing mail. Prepare and record all outgoing courier;
  • Maintain usage records and order postage and courier supplies;
  • Assist Branch Manager when necessary;
  • Maintain Branch Files, including filing, preparing new files, deleting old files;
  • Provide processing relief and prepare bank deposit and banking duties;
  • Schedule and organize monthly branch meeting;
  • Coordinate and arrange Branch Advertising;
  • Order Stationary, cleaning and coffee supplies;
  • Liaise with Cleaning staff in regards to cleaning issues and with Landlord or Maintenance Workers in regards to building issues such as electrical or heating problems;
  • Maintain phone system, Server, Photocopiers and Postage machines;
  • Collect and prepare for payment all facility related invoices; and
  • Provide administrative assistance to Vice President, Insurance.

 

Skills and Experience:

 

  • Strong and creative written communication skills;
  • Strong interpersonal and presentation skills;
  • Effective verbal communication skills;
  • Strong negotiation and management skills;
  • Ability to handle multiple and conflicting priorities;
  • Strong interpersonal and negotiation skills;
  • Working knowledge of MS Office software;
  • Working knowledge of web and email communications;
  • Undergraduate degree (B.A., B.Com. etc.) or CFP a minimum, additional financial industry related degrees or designations (CLU, CHFC, RHU, etc.) would be an asset; and
  • Life insurance and Mutual Funds licenses an asset.
