The Alternative Programming department has an immediate opening for the position of Clerical Assistant, reporting to the Director, Alternative Programming.
 
In this role, the candidate will provide administrative support. This includes:
 

Coordination and Organization of Department Shipping and Inventory Management

  • All shipping, couriers, FedEx for department including but not limited to:
    • Time Sensitive Content
    • Posters and Marketing Materials
  • Coordination with Fulfillment on distribution lists
  • Organize all BluRay returns and inventory

 

Program Specific Support

  • Portal entry of all events and weekly double-check
  • Creation of participating theatre listings
  • Work with Purchasing to complete all EAF required processes
  • Facilitate all documentation involving provincial classifications
  • Creation of event titles and required details within Film Central
  • Arrange all new distributor/vendor details
  • Monitoring select live satellite events and theatre support

 

Department Administrative Support

  • Expenses for Alternative Programming department
  • Arrange and coordinate all travel requirements
  • Code, organize and submit invoices for payment
  • Updating and maintenance of Master Satellite/Auditorium listing
  • Filing as required
  • Film Settlement for Independent theatre locations
 
Key areas of responsibility:
  • Coordinate and provide select administrative support to the Alternative Programming Department.
  • Coordination and organization of all Department required shipping including local and/or Fedex, couriers, creation of shipping manifests, and tracking of incoming deliveries
  • Organization and Inventory Management of department program content
  • Portal entry of all events and weekly double-check for accuracy
  • Creation of participating theatre listings for each event
  • Coordinate the department’s purchasing process from initial order and cost approvals, shipments and final invoicing
  • Coordinate and arrange all new distributor/vendor details
  • Coordination of provincial classification requirements for all non-live content
  • Coordinating, tracking and organization of Film settlement for Independent theatre locations
  • Tracking and allocation of program operating costs
  • Monitoring select live satellite events and theatre support
  • General department administrative support including all expenses, travel arrangements, invoicing and filing as required
 
Knowledge and Skill Requirements:
  • Minimum of two years of experience with administrative tasks
  • Applicants must be mature self-starters, detail oriented, be able to meet deadlines, take initiative and able to work independently
  • Candidates must use discretion and judgment necessary to treat confidential items and assignments appropriately
  • Excellent oral and written communication skills
  • Superior interpersonal skills and must be able to maintain effective working relationships with field and office staff
  • Expert use of Microsoft Office including Word, Excel, Access, Powerpoint and Outlook.
  • Bilingualism in both French and English, and experience with financial data tracking/organization would be considered an asset.
