The Merchandising & Strategic Planning department at our Home Office in Toronto is currently seeking a newly created opportunity for an Administrative Assistant, Merchandising, reporting directly to the Sr. Vice President, Merchandising & Strategic Planning.
Key Areas of Responsibilities:
Provide administrative support to the Senior Vice President, Merchandising & Strategic Planning, Executive Director, Merchandising and Director, Merchandising Operations, along with other team members within the department
Prepare memos, correspondence, proposals, reports and tables
Prepare and maintain project schedules
Organizing schedules, coordinating meetings, appointments, travel arrangements, and expenses
Code and track invoices, prepare Expenditure Authorization Forms (EAFs) and maintain related tracking
Maintain Vista Database and update costing data
Set up new enterprise information systems (EIS) codes and recipes as required
Maintain various reconciliations (royalties, games revenue, vending revenues, etc.) and analyses as assigned
Generate various reporting on the business (Food costs, Sales Mix, Weekly Cost of Sales (COS), Monthly Purchase Incident (PI), Retail Branded Outlet (RBO)/Concept Tracker, Monthly Concession Incentive Program (CIP), etc.)
Generate asset forms relating to department
Maintain vacation and sick time tracking for department
Maintain Contract Tracking and Management system
Plan and execute conferences – coordinate group sessions, securing prizing partners, organizing events/entertainment/evening galas
Handle time sensitive projects and confidential files
Maintaining communication between six Regional Merchandising Managers offices throughout Canada
Greet visitors, answer and screen all incoming telephone enquires and take the initiative to address client concerns
Prepare faxes, open and distribute mail, prepare couriers and maintain files
Assist with miscellaneous projects as required
The ideal candidate will have:
At least one year of experience as an Administrative Assistant and/or has clerical/basic accounting skills
A background in Food & Beverage or theatre management is an asset
Must be mature self-starters, detail oriented, be able to meet deadlines, take initiative, and able to work independently
Must use discretion and judgment necessary to treat confidential items and assignments appropriately
Must have excellent oral and written communication skills
Must be efficient and possess strong keyboarding skills
Must be able to maintain effective working relationships with field and office staff
Must possess a strong guest service focus and have superior interpersonal and time management skills
Must have the ability to manage conflicting priorities
Expert use of Microsoft Office including Word, Excel, and PowerPoint and Outlook are prerequisites for this position
Bilingualism in both French and English would be considered an asset.
