Administrative Assistant 
Position Summary:
Reporting to the Vice President, Communications and Investor Relations, and working closely with senior management and a fellow Director, Communications, the successful candidate will fully participate in the activities of the department and provide administrative and communications support to the team. The successful candidate is a confident, organized, professional who is comfortable working with senior management and thrives in a fast-paced, results-oriented environment.
Key Responsibilities:
Administrative Support:
  • Provide administrative support to the Vice President of Communications and Investor Relations and the Director, Communications including reviewing the VP’s mail/email and responding as appropriate; maintaining and updating calendar; coordinating meetings; fielding calls and responding/directing as appropriate; facilitating requests for information, and coordinating and arranging travel, and completing expense reports.
  • Receive and process all incoming departmental correspondence and distribution of same
  • Word processing, spreadsheet preparation and PowerPoint presentation development and ongoing maintenance of various department reports and checklists as well as department filing
  • Track and process department invoices, department attendance, order supplies  
  • Maintain vacation and sick time tracking for department
  • Administer the department’s contact data base and email distribution lists ensuring content is always accurate and current
  • Assist with miscellaneous projects as required
Corporate, Media and Investor Relations Support:
  • Issue corporate communications including press releases, press advisories and facts sheets
  • Process media requests for information and interviews directing them to the appropriate company spokesperson
  • Respond and facilitate media requests for filming, photography, theatre access. 
  • Create and maintain targeted business and entertainment media lists on a (local, regional and national basis)
  • Monitor all media coverage, create and disseminate weekly media coverage report
  • Edit and post content onto the company portal and corporate website
  • Develop and maintain the central image library; facilitate executive and theatre photo shoots as required
  • Process applications and respond to Premiere Card requests
  • Assist with the planning and execution of press conferences and special events; the launch of new theatres and businesses;the Annual General Meeting (AGM) and events identified in the communication and investor calendars
  • Provide logistical support for investor conferences and meetings, quarterly analyst conference calls
  • Word process and issue investor press releases, quarterly reports and presentations, and assist in creating investor presentations and fact sheets
  • Administer the investor website ensuring it is always current and relevant
  • Provide administrative and logistical support for the company’s two annual employee town hall events (in Toronto and Montreal) and other employee events as applicable
Required skills, knowledge and abilities:
  • Must be a mature, self-motivated, detail oriented individual who is able to meet deadlines, take initiative, and able to work independently
  • Must possess a strong guest service focus and have superior interpersonal and time management skills
  • Must have the ability to manage conflicting priorities
  • Expert use of Microsoft Office including Word, Excel, and PowerPoint and Outlook are prerequisites for this position.
  • Excellent interpersonal, written and verbal communication skills to enable effective team work and promote positive internal/external customer relations
  • Possesses a strong sense of urgency
  • Ability to maintain the highest level of confidentiality
  • Strong attention to detail, ability to prioritize and work simultaneously on multiple projects while consistently meeting deadlines
  • Fully proficient in English (reading, writing and speaking)
  • Ability and willingness to work late when required
Desired skills, knowledge and abilities:
  • Self confidence to work independently, with self-awareness to seek coaching, support and advice as required
  • Fully bilingual in French (reading, writing and speaking)
  • Knowledge of media relations including media handling, material development and distribution would be an asset
  • University or post-secondary education in business, communications, public relations or journalism
  • Minimum of five years of experience as an administrative assistant.
  • Experience in investor relations with a publicly traded company would be an asset.
