Title Coordinator, Distribution & CRM (Client Relationship Management)
Range Minimum $49,400
Summary The Distribution and CRM Coordinator is responsible for the coordination of the distribution of Core Plan products and mass mail outs of CIHI high profile reports/publications. This role also oversees certain Order Desk responsibilities and supports Order Desk with training and feedback. He/She designs and delivers in-house CRM learning sessions, assists with CRM data population and data quality activities, maintains CRM user manuals and performs other CRM and Order Desk related duties.
Duties and Responsibilities
  1. Maintains the master distribution schedule and coordinates the dissemination of Core Plan products (ex. bulletins).
  2. Coordinates the distribution (hard copy or electronic) of CIHI high profile reports, publications or announcements, liaising with key personnel in relevant departments to ensure needs are understood and deadlines are met. Promotes and responds to inquiries with respect to the distribution policies and procedures.
  3. Provides on-going support to CIHI’s CRM user community. Assists with the evaluation of CRM users’ training requirements and designs (i.e. recommend format and develop session content, handouts, etc.) and delivers short in-house learning sessions (one-on-one or in groups) to meet skills gaps, as required. Monitors the impact of the training provided.
  4. Assists with CRM-related data population and data quality activities, ensuring accuracy and completeness of data. Follows-up with CRM users as appropriate.
  5. Maintains the CRM user manuals, training guides and reference materials, updating them as required. Contributes to general communications as it relates to distribution and CRM.
  6. Acts as a coach for the Order Desk Assistant. Oversees the Order Desk Assistant activities by reviewing the status of orders along with any CRM-related tasks (such as web edit review, unassigned clients, product data entry) ensuring accuracy and timely completion. Provides any necessary training, direction and feedback along with guidance on work prioritizing.
  7. Verifies and approves daily customer orders and credit notes in accordance with established procedures/practices, CIHI pricing policy and GST/HST/PST/QST rules. Ensures Orders are being processed on an accurate and timely basis and provides feedback to the Order Desk Assistant.
  8. Maintains excellent knowledge of CIHI products/services, Core Plan and pricing policy, CRM, online Order Desk and provincial/federal government tax legislation.
  9. Performs other CRM and Order Desk related duties as required
Knowledge & Experience
  • College diploma in commerce or business administration or relevant diploma.
  • Five years of relevant experience.
  • Knowledge of Pivotal 5.9 (CRM) is a definite asset.
  • Proven ability to work in a sophisticated computerized environment.
  • Excellent organizational skills.
  • Excellent verbal and written communication skills, including facilitation and presentation experience.
  • Excellent interpersonal skills.
  • Fluency in both official languages is a definite asset.
  • Ability to meet travel requirements.
