Position Overview
  • This is a 7 week temp assignment with our Provincial Government client
  • Performing word processing functions to prepare correspondence, reports, memoranda, opinions, briefing notes and legal documents (e.g. factums, casebooks, appeal books, notices of appeal, orders, notices of motion, affidavits, consents, criminal appeal forms, Attorney General's consents) and Crown disclosure packages from handwritten notes, verbal instructions, dictaphone tapes as wellas computer disks in connection with counsel's work on appeals and bail pending appeal applications in the Ontario Court of Appeal and the Supreme Court of Canada, Witness Protection matters, Wiretap administration, commercial fraud and special prosecutions, Proceeds of Crime, Extradition and Mutual Legal Assistance Treaty matters, Attorney General's consents in Dangerous
  • Offender and Child Abduction matters, Freedom of Information requests, search warrants, advice and legal support services to trial Crowns and law enforcement agencies, constitutional questions and criminal law policy matters. Ensuring adherence to legal style, format and terminology
  • Under the direction and supervision of counsel, putting together legal documents/document books (e.g. appeal books, books of authorities, motion records) by checking to ensure the photocopies are clear and complete; proper sequencing order (e.g. as set out in the indices); and meet court requirements (e.g. correct colour of court document covers, number of copies required for court purposes)
  • Taking and transcribing dictation of a highly confidential and/or technical nature (e.g. Minister's correspondence, House Book Notes and Critical Issues, Wiretap applications and Witness Protection matters), including voicemail transcriptions
  • Using knowledge of Ministry, Division and Office policies, precedents, procedures and guidelines, routing or answering correspondence/telephone inquiries not requiring counsel's attention and initiating follow up action as required
  • Communicating with personnel in trial offices in the Criminal Law Division and with staff in the courts, law enforcement agencies and correctional institutions, with members of the legal profession and victims/witnesses to exchange information and obtain documents, transcripts, files and information concerning appeal and prosecution matters as well as responding to inquiries from members of the public concerning appeal and prosecution matters, explaining legal administrative procedures and documents. Maintaining an awareness of confidentiality of information
  • Under the direction of counsel, conducting searches on the electronic case management data bases and legal information systems (e.g. ISYS, Q&A) to retrieve information pertinent to appeal and prosecution files; retrieving case law and other legal research materials in law library and Central Registry
  • Photocopying, collating and binding of legal documents/document books; arranging for and accepting service of documents; arranging for timely filing of legal documents in the courts and when necessary or required, personally attending in the courts to file legal documents
  • Maintaining and coordinating appeal, prosecution and purge court files; maintaining accurate record-keeping systems; scheduling and coordinating court dates, meetings, appointments and conferences; making travel and accommodation arrangements for counsel and witnesses and preparing travel and expense claims; arranging for special services such as court interpreters; screening telephone calls, taking messages and receiving visitors; performing back-up duties for other secretarial staff and for reception as required
  • 2-3 years experience working as a Legal Secretary in a professional environment
  • Must be able to pass a criminal background check
  • Knowledge of operating features of dictaphone, photocopying and fax equipment to prepare legal documents, memoranda and correspondence and to process mail, faxes and courier packages
  • Knowledge of criminal appellate and trial litigation office methods and procedures and related policies, ministry directives and guidelines, and court administration practices and procedures to provide legal secretarial support services and related clerical and administrative support services
  • Knowledge of relevant Criminal Appeal Rules and Rules of Criminal Practice, including terminology, documentation and practices and procedures used in the Ontario Court of Appeal and in the Supreme Court of Canada to prepare legal documents from precedents, transcription or verbal instruction provided by counsel, e.g. facta, casebooks, notices of motion, orders and other court documents for use in motions, trials and appeals
  • Knowledge of law library procedures and processes so as to retrieve references, citations, cases and legislation and of computerized legal data base systems (e.g. ISYS, Q&A) to retrieve facta, reported and unreported case law and other legal citations and legislation to assist counsel.
  • Ability to select and apply appropriate legal and administrative rules and procedures, terminology, style and format in preparing legal documents and correspondence from precedents or information provided by counsel, e.g. facta, casebooks, notices of motion, affidavits, orders and Crown disclosure packages for use at motions, trials and appeals
  • Ability to identify incorrect or incomplete information and/or documentation or problematic issues in files and to determine the appropriate steps to be taken and sources to be contacted to initiate the necessary follow-up action to obtain the required information
  • Strict adherence to confidentiality rules and policies and Freedom of Information and Protection of Privacy Act requirements to preserve legal professional privilege and to protect victim/witness information and information relating to sensitive areas such as Witness Protection, Wiretap applications and high profile criminal cases
  • Ability to organize and prioritize to develop work plans and resolve day-to-day priorities and operational and workload problems associated with working in a multi-counsel work environment and to recognize problematic or urgent issues and prioritization problems and to bring them to counsel's/manager's  attention
  • Typing to sixty (60) words per minute Dictaphone skills to Ontario Government standards
