Title Office Administrative Assistant
Position Overview AME Materials Engineering is seeking an Office Administrative Assistant to join our team. In this role, the candidate will be responsible for maintaining the company switchboard, as well as performing basic office and accounting administrative functions.
Key Responsibilities
  • Manage the company switchboard and routing calls as appropriate
  • Receive incoming courier packages and prepare outgoing packages
  • Receive and distribute fax correspondence
  • Greet all visitors and  inform the appropriate staff of their arrival
  • Manage boardroom bookings
  • Assist with the ordering of office supplies
  • Process daily outgoing mail and distribute incoming mail to appropriate staff
  • Post invoices relating to assigned A/P accounts including batching and entering
  • Assist with the processing of inter-company receivables
  • Enter Timesheets, board, mileage in QuickBooks
  • Process payroll for hourly staff and maintain employee files
  • Update Daily Logs for kilometers, hours worked, board and oil changes
  • Research business development opportunities
  • Update the Project/ Proposal tracking report
  • Prepare and code vendor and expense invoices
  • Create Mileage reports
  • Prepare and manage the submission of invoices
  • Assist with weekly and month end reporting
  • Other duties as assigned by the Office and Accounting Supervisor and General Manager
Required Knowledge & Skills
  • Strong organizational skills, ability to prioritize and multi-task
  • Minimum 2 years Receptionist/Office Administrator experience
  • Exposure to Accounting is an asset
  • Exceptional customer-service skills and effective communication both verbal and written
  • Ability to work with minimal supervision
  • Experience with MS Word, MS Excel and Outlook, must be comfortable working with spreadsheets
