Title Receptionist
Position Overview Reporting directly to the Finance Manager, the Receptionist will be responsible to perform all reception duties and provide clerical and secretarial support to all company activities.
Key Responsibilities

• Courteously take and direct all incoming telephone calls, utilizing the paging system and voicemail system when required.

• Package all items to be sent by courier, prepare waybills and arrange for courier pick-up.
• Distribute all incoming couriers.
• Sort, open, date stamp and distribute all incoming mail.
• Prepare all outgoing mail.
• Greet salespersons, clients and other persons at the front desk; determine their name, whom they represent and whom they wish to see. Inform the person of the visit. 
•  Maintain an accurate, detailed daily diary recording holidays, absences and scheduled departure and returning times for office personnel.
• Assist in the creation and updating of projects resumes.
• Manage boardroom bookings.
• Assist the financial department in the matching and coding of invoices.
• Assist the administrative staff with typing, filing, etc as duties permit.
Required Knowledge & Skills

• 1 to 2 years of previous work experience as a Receptionist and/or Administrative Assistant.

• Demonstrated computer software proficiency with the Microsoft Office suite – basic levels.

• Excellent and proven organizational skills in order to meet multiple deadlines and handle multiple tasks within a high-pressure work environment.

• Excellent interpersonal and communications skills, both written and oral.

• Ability to work effectively with all levels of management, employees and clients.
