• Courteously take and direct all incoming telephone calls, utilizing the paging system and voicemail system when required.
• Package all items to be sent by courier, prepare waybills and arrange for courier pick-up.
• Distribute all incoming couriers.
• Sort, open, date stamp and distribute all incoming mail.
• Prepare all outgoing mail.
• Greet salespersons, clients and other persons at the front desk; determine their name, whom they represent and whom they wish to see. Inform the person of the visit.
• Maintain an accurate, detailed daily diary recording holidays, absences and scheduled departure and returning times for office personnel.
• Assist in the creation and updating of projects resumes.
• Manage boardroom bookings.
• Assist the financial department in the matching and coding of invoices.
• Assist the administrative staff with typing, filing, etc as duties permit.
